Today’s Psychology Terms of Service & Consent to Treatment

Welcome to Today’s Psychology. This page explains what you can expect from us, and what we ask of you, in clear and simple terms. Please ask us if you would like more detail about anything below.

Your Personal Information & Privacy

  • We collect personal information so we can provide you with safe and effective care.

  • Your information is kept confidential and stored securely.

  • We only share information when:
     

    • the law requires it (e.g. court orders),

    • there is a serious risk to your safety or someone else’s safety, or

    • you give written permission.
       

  • We may share brief treatment updates with your GP or referrer, especially if you are claiming rebates.

  • Your records are stored securely using Halaxy (our electronic health system).

  • You can request access to your records in writing (some limits apply).

  • Records are kept for the legally required time periods.
     

Referrals

  • We ask that you provide a GP referral, even if someone else referred you.

  • This helps us work collaboratively with your GP to support your care.
     

Appointments & Reminders

  • Appointments are confirmed via SMS, email, or phone.

  • You are responsible for remembering your appointment times.

  • We send reminders to help you avoid missed appointments.
     

Session Length & Fees

  • Standard sessions are 60 minutes (50 minutes therapy + 10 minutes associated clinical notes and admin).

  • Fees are dependent upon your referral pathway and the qualification of the Psychologist/Social Worker you see. Fee details will be explained and provided in writing when you book your appointment and are reviewed annually.

  • Payment is required on the day of your appointment.

  • Any unpaid fees must be settled before future appointments can proceed.
     

Payments

You can pay by:

  • Credit Card, EFTPOS, cash, or bank transfer

  • Automatic payments are available via Halaxy
     

Please note:

  • Card payments attract a small bank fee (1.523%).

  • By choosing automatic payments, you agree to Halaxy storing your card details securely.
     

Medicare & Private Health Rebates

  • Medicare rebates are available with a valid GP Mental Health Care Plan or Psychiatrist/Paediatrician referral.

  • We can submit Medicare claims for reimbursement on your behalf.

  • Private health rebates depend on your insurer—check your cover.
     

Third-Party & NDIS Funding

  • If another organisation is paying (e.g. NDIS, WorkCover, DVA), invoices must be paid within required timeframes.

  • If funding is declined or runs out, you are personally responsible for the fees.

  • NDIS participants may be charged for travel and non-face-to-face supports.
     

Telehealth (Phone or Video Sessions)

  • Telehealth sessions are available and charged the same as in-person sessions.

  • You must be in a private, quiet space with secure internet.

  • Sessions are confidential and not to be recorded.

  • A backup plan and emergency contact are required.

  • Your clinician may recommend returning to in-person sessions if needed.
     

Cancellations & Missed Appointments

We aim to keep appointments available for everyone.

  • Please give at least 2 business days’ notice to cancel or reschedule.

  • Fees apply if notice is short or you don’t attend:
     

    • $90 fee for late cancellations or reschedules

    • Full fee for same-day cancellations or no-shows
       

  • NDIS late cancellations/no-shows are charged to the NDIS plan.

  • Cancellation fees must be paid before further appointments are provided.

  • Appointment changes must be made by phone, not email.

We will:

  • Treat you with respect, honesty, and care

  • Provide transparency around your treatment and our standard operating practices

  • Protect your privacy

  • Work collaboratively with you and your GP

  • Respect your values and cultural background

  • Listen to feedback and address concerns

  • Continuously improve our services
     

Consent to Treatment

  • Psychological therapy has benefits and risks, which your clinician will discuss with you.

  • Treatment is voluntary and you can stop treatment at any time. We encourage discussing this first with your Psychologist/Social Worker to ensure adequate supports are available to you.

  • Clinicians may consult with other professionals (e.g. your GP and colleagues) as part of best practice.

  • We standardly review all client presentations with other Today’s Psychology clinicians to ensure best practice clinical oversight.  This includes supervision and direct observation.

  • Sessions must not be recorded by clients.
     

Feedback & Complaints

  • Feedback and compliments are always welcome.

  • Concerns can be raised with our Practice Manager.

  • If needed, you can also contact AHPRA, OHO or the NDIS Complaints Commissioner.
     

Your Agreement

By engaging in treatment with Today’s Psychology, you confirm that:

  • The information you provide is accurate

  • You understand there are fees including cancellation fees

  • You agree to these terms and consent to treatment

This agreement remains in place during your treatment (up to 5 years)
